Exela Employees:

We are working daily to provide you with the latest updates, as the information is changing quickly, and differently in each region. Below we have included the latest corporate communication from each region regarding COVID-19. If you have questions about the information below or the Exela Pandemic/Epidemic Plan, please reach out to your manager or human resource representative.

Americas:

Given the continued level of alert across our region around the COVID-19 issue, we want to take this opportunity to provide you with additional guidelines on how to handle current business activity.

As we are sure you are aware, developments surrounding the coronavirus change daily. Accordingly, these guidelines are subject to change. We will endeavor to provide you with the most up to date information regarding the Company’s response and guidance as we navigate our way through this situation.

TRAVEL – As a precautionary measure and with immediate effect, all but the most essential travel is on hold. Please use GoToMeeting, video and telephone conferences instead. We will continue to monitor and advise on the removal of the travel hold.

This travel hold also applies to customers, vendors and any other guests visiting Exela facilities. We ask that you not invite anyone to our facilities for meetings and/or events which can be delayed or completed via any of our standard conferencing channels – GoToMeeting, video and/or phone conference. Please strictly enforce this guideline going forward in order to avoid disruption to our operations.

PANDEMIC PREPAREDNESS – As requested in the March 6, 2020 global, corporate communication, please log in to LYNX, Exela’s Learning Management System and review our employee and manager training documents. Please ensure that your work site has all preventive measures in place. These prevention measures are in line with the Centers for Disease Control and Prevention (CDC) guidance. If you have any questions on pandemic preparedness, please contact a member of our Business Continuity/Disaster Recovery Team at BC-DRTeam@exelaonline.com.

EMPLOYEE REMOTE WORK – In an effort to reduce activity in our facilities and offices, all employees who can work from home can do so, given that they receive approval from their direct manager. The work from home exception is currently set until March 25, 2020 and will be re-evaluated on a daily basis. To reiterate, employees can’t make this decision on their own and must gain approval from their direct manager.

EMEA:

Many Governments have recently announced more measures and precautions to mitigate the spread of the Coronavirus. Measures include education closures, care facility closures, state of emergency and full social environment closures.

This means that until 31 March 2020 we will now move all staff where possible to following stages of containment:

  • Support staff to work from home where possible and after approval from the line manager.
  • Operations staff to liaise with their manager to implement business continuity plans and agree working arrangements, such as to provide flexible working arrangements when required.

For support staff working from home, you will need to remain in contact daily with your line manager so that you are aware of ongoing business arrangements. You will also be required to update your manager daily on your progress of tasks and targets.

Please continue to follow hygiene advice and minimize personal contact in order to prevent infection. Please remember to continue to inform Human Resources if you feel ill and also contact a general medical practitioner if you believe you are showing symptoms of Coronavirus.

Please reach out to HR if you have any other questions about the new measures that are been taken by Exela, your Government or if you have general concerns over your illness or arrangements, we are here to help.

Further up-dates will follow as required.
